All Purpose was founded in 2017 as a multidisciplinary business that has quickly grown. Our teams include visual designers, brand strategists, UX engineers, developers, digital marketers, illustrators, video producers, editors, storytellers, project managers, animators, and researchers.

In order to support our mission, we are looking for an Office Manager to help support our team. The ideal candidate must be detail oriented and collaborative who is forward thinking,  accountable and passionate about fostering a positive culture. 

This is a part-time (20-30hr/wk) contract or employed position with room to move to full-time. We are open to candidates working remotely within core hours of 9am-5pm PST.

You will manage our direct stakeholder vendor relationships and administration functions of our office to ensure smooth day-to-day operations and team support.  

Office Management

  • Manage vendors for office facility services
  • Process incoming mail sent to office
  • Maintain Office supplies
  • Team Meeting - All hands invitations and updates; zoom recordings; reminder for anonymous suggestions; round table prompts
  • Process incoming emails sent via the company website
  • Maintain Equipment List and coordinate purchasing of Hardware & Computer set-up for new team members
  • Assist leadership team in gathering signatures for legal documents and storing digital files
  • Assist with event planning or office catering, as requested

Team Support

  • Coordinate the onboarding processes for new hires
  • Manage our HRIS system and employee files; Ensure that all systems are updated when there are changes in employee or contractor agreements
  • Serve as Group plan administrator for employee group benefits
  • Work with our executive team to create and update the employee policy handbook
  • Manage updates to AP Team Site (Google Site internal wiki / intranet)
  • Report Contractor expiry dates
  • Provide book-keeping support 
  • Provide Executive support including calendar management, expense and travel planning)
  • Coordinate the off-boarding process for team members
  • Conduct all feedback and NPS surveys
  • Assist leadership with job postings & resume review to create a qualified pool of candidates
  • Resumés Review - Sort resumes received as an initial check before passing onto hiring lead
  • Manage all administrative initiatives and ad hoc programming/reporting as requested 
  • Other duties as requested by management related to the company mission and vision

You have or you are

  • At least three (3) years of directly related experience in a related role such as an office administrator, office manager or coordinator
  • Experience in a creative agency or services firm is an asset 
  • Understanding of Bamboo HR, Google Suite, Quickbooks Online, MS Office, Wagepoint. Notion, Slack, and Zoom would be an asset.
  • Proven ability to balance multiple priorities
  • Ability to maintain a high level of confidentiality
  • A love for automation and process improvement. You will find creative and innovative ways to improve how we operate
